We are looking to hire 2 Account Coordinators.  One will work from our Tukwila office, the other will work from either our Tukwila or Tacoma offices.  


Accurately prepare specs, pricing and instructions for quotes/orders; communicate up-to-date information to our customers in a timely manner; provide a point of contact for sales and customers regarding quotes and orders.


Essential Duties & Responsibilities

       1. Furniture Pricing, CAP Spec Preparation and CORE Order Entry

  • Meet with sales to determine scope/goal of quote
  • Prepare CAP spec, confirm all pricing, discounts, freight charges, misc fees
  • Create quote in CORE ensuring that all pricing, codes and order setup is accurate
  • Prepare delivery instructions, Purchase Order instructions
  • Apply appropriate contracts and/or discounting
  • Prepare quote to give to Procurement Specialist when order is ready to place
  • Ensure that order criteria are met for signed quotes/POs, deposits and credit terms are met
  • Provide support to salesperson as requested


2. Order Tracking

  • Contact vendors to confirm shipping or confirm via shipment notice
  • Track shipments on freight websites or via phone


3. Customer Engagement

  • Notify client of order status upon order placement, acknowledgment and shipment
  • Coordinate delivery with client (could be simple or complex depending on order)
  • Field daily phone calls and emails from client to answer a variety of questions that arise (quite often they email us instead of sales for small orders or day to day questions or to make changes to existing quotes/orders)
  • Follow up with client at end of install


4. Invoicing/Order Completion

  • Follow-up on outstanding issues such as punch-list, freight claims, returned product
  • Confirm order will invoice accurately by running a pre-invoice report in CORE
  • Send out satisfaction survey to customer upon completion of order


5. Teamwork

  • Participate in team meetings, both within your location as well as company-wide meetings
  • Work on team goals as assigned by department manager


Ideal Candidate

  • Knowledge of CAP, ability to learn CORE accounting system, contracts
  • Understanding of discounting
  • Strong organizational skills
  • Attention to detail
  • Ability to ask for help
  • Ability to be a fully participating team member
  • Perform independently
  • Consistent high record of performance
  • Ability to learn new technology
  • Strong data entry
  • Proficient math skills as it pertains to discounting
  • Proficient in MS Office - Excel, Word, Outlook
  • Excellent communication skills (Customer, Procurement Specialist, Warehouse, Sales)
  • Understand and follow established filing system



  1. Education
    • Required: High School Diploma or G.E.D.equivalent
    • Bachelor's Degree preferred


  1. Experience
    • Customer Service experience
    • Design education or background preferred
    • Experience with systems furniture preferred
